GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

As the Associate Manage for the Friends Group, you will be responsible for all administrative functions associated with the Musical Instrument Friends Group and the Amati Fellows, totaling approximately 80 patrons supporting the department. You will organize and manage correspondence, meetings, communications and schedules for both the patron groups and Musical Instrument Visiting Committee. You will partner with Development, Membership, Special Events, Curatorial and Education to coordinate departmental programing and fundraising activities. You will work with curators, educators, Membership staff, and others across the museum to develop and program music for the Friends events, Membership events, and gallery demonstrations.

PRIMARY RESPONSIBILIES & DUTIES:

  • Assist Chair in fundraising activities by managing correspondence with current and prospective donors, setting up meetings and following-up;

  • Serve as the primary point of contact for all Friends, Visiting Committee members, and departmental donors; Serve as the liaison with the YoungArts Foundation;

  • Organize and manage The Amati schedule of events, including up to four events each season and an annual dinner; two events for Amati Fellows, and one on-site Visiting Committee meeting;

  • Partnering with the Development and Institutional Advancement teams, collect Friends Group membership fees, draft renewal and acknowledgement letters and identify and onboard new members.

  • Assist Special Events in planning and executing departmental exhibition openings;

  • Working with curators and music educator, program music demonstrations within the musical instruments galleries;

  • Serve as the liaison with Membership to program concerts and demonstrations for Patron and Members events;

  • Review monthly budget of the Friends cost centers;

  • Maintain member lists with updated contact information and data entry;

  • Other related duties.

REQUIREMENTS & QUALIFICATIONS:

  • BA degree or relevant experience.

  • Demonstrated experience with event planning, fundraising, or musical programing preferred.

  • Strong interpersonal skills and absolute discretion are required in working with high level donors and supporters of the Musical Instruments Department;

  • Demonstrable ability to create and maintain precise and well-researched records;

  • Excellent verbal and written communication skills

  • Superior organizational skills; ability to work both on a team and coordinate projects across departments; as well as working independently on projects and processes.

  • Excellent time management and ability to maintain composure in a busy environment required;

  • Attention to detail with follow through;

  • Computer literacy, including Word, Excel, etc.;

COMPENSATION RANGE:

  • Pay Range: $78,000.00 - $82,000.00 / Annually

The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate's experience, education, special licensing or qualifications, and other factors.
