The Trust & Receivables Coordinator reports to the Collections Manager and plays a crucial role in managing the relationship between Cash Application, Trusts, and Collections. This position ensures accurate payment allocation and timely resolution of outstanding items. The coordinator also provides regular reports to upper management on the status of aged Trust balances. The ideal candidate is proactive, detail-oriented, and adept at navigating complex trust systems.
What You Will Do:
Maintain a detailed record of funds placed in the Trust account.
Regularly communicate with the Collections team regarding Trust amounts
Handle payment research.
Investigate unsolved wire, ACH, and check payments on a daily basis.
Develop a streamlined process for payment research using various tools (Aderant AR fields, Expert Image, iManage, eBilling platforms, etc.)
Handle Payor database enhancement
Re-create the Payor Database, including contact phone numbers and email addresses for regular clients’ payables departments
Handle payment allocation.
Transfer funds from Trust to apply to invoices as needed.
Collaborate with Collections, Billing, Trust, and Finance departments to resolve Trust discrepancies.
Communicate directly with payors to allocate unsolved or unidentified payments correctly
Understand Trust ins and outs to reconcile any discrepancies.
Engage with bank representatives when additional payment information is required.
Respond promptly to internal inquiries about unsolved payments or Trust amounts.
Who You Are:
Minimum 3-5 years of related Treasury experience in a professional service organization (law firm experience preferred)
Ability to work hybrid office hours (3 days in-office, 2 days working from home).
Team-oriented and proactive thinker with strong analytical and problem-solving skills.
Excellent communication, organizational, and interpersonal abilities.
Proficient in data entry and detail-oriented.
Comfortable handling multiple assignments across various departments.
Proficiency in spreadsheet software applications.
