Job Description:

The TSD Info Systems Specialist is responsible for Technical Services Division (TSD) info systems projects, change requests, workflow analysis, and process documentation. This position collaborates with TSD, IT, and external vendors with an emphasis on completing application assignments to meet customer goals and desired outcomes for the business. This position assists in developing long-term, strategic planning, developing roadmaps to grow MNAO delivery products and services.

Major Areas of Responsibility (MAR):

Data Analysis/Process Improvement - 40%

  • Utilize available data and metrics to evaluate existing TSD practices/ processes and determine whether additional efficiency or resource gains are possible.
  • Collaborate with subject matter experts in cross functional teams to identify shared opportunities and gain buy-in.
  • Propose cost-effective solutions with measurable and achievable ROI and implement identified improvements.
  • Review and identify TSD practices/processes to be considered for business process re-engineering.
  • Gather user-feedback from TSD system users through surveys, dealer visits, forums, etc. and utilize feedback to assess value-add features and validate findings with users.
  • Ensure system features align with Mazda’s global vision and promote efficiency and ease of use.
  • Perform annual reviews of TSD processes to verify accuracy, ensure they are up to date, and at peak efficiency.

Project/Change Management - 40%

  • Gather necessary information to develop the project case study/ROI document needed for IT project approval.
  • Guide assigned projects on behalf of TSD from inception to implementation, including gathering business requirements, UAT script development, and UAT testing.
  • Work closely with Mazda Corporate Japan and groups in other markets to achieve future application updates, developments, and enhancements to maximizes operational efficiencies.
  • Provide support during planning, design and oversight of dealer service side applications and post-launch support.
  • Develop and maintain project management plans in MS Project or the best PM tool available based on project scope and requirements.
  • Facilitate change management activity associated with recommended changes, including strategy, communication, and implementation.
  • Partner with MNAO IT and any external vendors for system change implementation, adhering to the PDCA process.
  • Work with internal stakeholders to proactively resolve any known performance or usability issues in advance of any negative user experience.
  • Provide on-going support to business team for assigned TSD applications, including additional analysis, troubleshooting, and acting as IT liaison.
  • Provide support for other TSD applications as needed.
  • Regularly collaborate with TSD senior managers to identify and track desired IT projects from inception through completion across multiple fiscal years.
  • Solicit project cost estimates for IT development then work with Finance to establish each fiscal year’s budget.
  • Secure budget reallocations and transfer authorizations as necessary.

Documentation - 20%

  • Collaborate with cross-functional business units to standardize business processes documentation.
  • Co-create process documentation with involved business units.
  • Support business in resolving any issues in SNOW (Service Now) with IT.
  • Review SNOW tickets with IT on semi-regular basis to understand system performance and user impact.

Qualifications and Other Requirements:

Education:

  • Bachelor’s degree in computer science, management information systems, or related field, or equivalent combination of education, training, and work experience.

Experience:

  • Minimum three (3) years’ experience working in a business analyst, project management, or related role with emphasis on research and analysis of technical, business processes.
  • Minimum three (3) years’ experience utilizing project management principles/methodologies.
  • Minimum three (3) years’ experience working with business stakeholders and IT in a cross-functional capacity.

Proven track record in the following:

  • Facilitation, change management, and complex problem-solving.
  • Strong vendor management and negotiation skills.
  • Experience working with senior stakeholders and non-technical business leaders.
  • Ability to produce timely deliverables and manage multiple and shifting priorities in a dynamic environment.

Preferred but not required:

  • IT experience is a plus.
  • Knowledge of IT systems and processes preferred.

Training/Certification:

  • Project Management certification preferred, but not required.

Knowledge/Skills/Abilities:

  • Knowledge developing and managing budgets with a strong understanding of Operations versus Capital expense.
  • Strong technical writing skills and ability to communicate on a technical level as well as communicate technical concepts on a less technical-business level.
  • Ability to influence others at all levels through compelling business cases.
  • Well-balanced interpersonal skills; Must be able to establish and maintain effective working relationships with all levels of management, employees, customers, and outside vendors; Must be able to clearly and effectively communicate both orally and in writing, using good grammatical form, both in general correspondence, as well as on technical issues.
  • Must be analytical and a problem solver with the ability to identify problems and/or cause-effect relationships; identify key issues; secure relevant information from all appropriate sources; identify possible root causes of problems and develop and implement corrective actions for resolution.
  • Strong organizational skills and the ability to prioritize tasks are essential. Must be able to establish a course of action for self and others/department to accomplish specific goals; must plan and prioritize proper assignments of personnel and/or appropriate allocation of resources.
  • Self-motivated and capable of working with minimal supervision and/or direction.
  • Proficiency with computer applications, including Microsoft Excel, Word, Project, PowerPoint and Outlook, as well as the ability to learn and effectively utilize other software applications used within the Company.

Travel:

May be required 1 - 2 times per year

Pay Range:

$83,300.00-$120,800.00

Salary to be determined by education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
