Full Job Description

Our client, a well respected contracting and construction firm, is seeking a Long Term Temporary Office Manager for their brand new office in Lincoln Square, NYC. This role requires 5 days in the office with working hours being from 8am-5pm. The hourly pay is up to $45/hr. This role is a great opportunity for someone to flex their strong administrative skillset!



Job Responsibilities:
  • Answer and route incoming calls
  • Buzz in and announce visitors
  • Maintain cleanliness and order at reception desk
  • Maintain cleanliness of Conference Rooms
  • Maintain Conference Room Schedule
  • Inventory and order office supplies as necessary
  • Order supplies for employees
  • Order safety and beverage supplies
  • Receive, sort and deliver daily mail
  • Receive and deliver Fed Ex and courier items
  • Receive packages
  • Log all deliveries
  • Print or Order Certificates of Insurance for Projects
  • Coordinate annual permit renewal with Expediter
  • Coordinate Certificates of Insurance for renewals with Broker
  • Create and modify AIA Contracts at direction of President and Legal Counsel
  • Assist Accounting with AIA Contracts for Subcontractors
  • Prepare new employee workspace (set up telephone, computer, etc.)
  • Set up employee info on Copier Distributions
  • Gather keys, forms to complete, etc. for employees first day
  • Add employee to email distribution lists
  • Remove employee from Copier Distributions
  • Remove employee from email distribution lists
  • Collect keys and other company equipment from employee
  • Set up Phone and Internet services for new projects
  • Order water for all projects
  • Primary contact for office cleaning issues
  • Ensure cleaner takes out trash and recyclables in a timely manner
  • Assist Marketing with data entry in Salesforce

Qualifications:
  • Must have 5+ YOE in an office manager position or administrative position
  • Must be proficient in MS Suites
  • Professional, friendly, trustworthy, and organized
