Position Overview

The Maintenance Operations Division directly oversees facilities maintenance, service contracts, capital projects, property turnover, and all new development projects' transition to an operating property. The position is responsible for the daily activities required to direct, maintain, and operate Core’s portfolio of properties by performing the required duties personally or through subordinate managers. This requires an intuitive leader with strong business acumen, and well-developed analytical and negotiation skills. Motivating and driving the team through clear, measurable expectations and high standards is required. Working in collaboration with senior management, the Managing Director will be instrumental in establishing best practices for maintenance operations, project management, streamlining the company’s processes and enhancing its profitability throughout the portfolio. This role reports directly to Core’s Management Division President.

What You Will Do

  • Develops, implements, and administers systems that ensure efficient performance and provide superior quality service to customers.
  • Develops all CORE organizational directives, policies and procedures that ensure effective operations and programs for maintenance operations.
  • Develops and coordinates comprehensive preventive maintenance programs for the overall facility and mechanical systems.
  • Implements and oversees a computerized maintenance management work order system appropriate for the effective maintenance of all facilities.
  • Prepares annual operating budget in collaboration with subordinate directors; develops and recommends an annual capital budget for long-range repairs and improvements to the facility; authorizes the requisition of equipment and supplies within budget guidelines.
  • Knows and ensures compliance with all applicable laws, codes, ordinances, policies, procedures, risk management, safety precautions, rules, regulations, and emergency procedures.
  • Inspects the work of subordinates and contractors to ensure adherence to customer specification, CORE quality assurance standards, procedures, and safety codes.
  • Provides expert advice and support to the company on all matters pertaining to engineering, building services, custodial services, electrical services, security, safety, and transportation.
  • In collaboration with other departments, develops and implements an Emergency Response Program, inclusive of safety and emergency procedures, including fire, medical, evacuation, bomb threats, and alarm systems.
  • Ensures prompt and cost-effective solutions are implemented for unanticipated maintenance requirements.
  • Directs the operation and repair of mechanical and electrical equipment for all facilities.
  • Recommends modifications to existing capital equipment and physical plant facilities.
  • Inspects the work of contractors, when in progress and upon completion.
  • Oversees the preparation of contract terms and statements of work for all capital improvement and construction contracts; negotiates revisions, changes, and additions to contractual agreements with architects, consultants, clients, suppliers, and subcontractors.
  • Adopts a philosophy of customer service excellence and customer relations for the performance of all duties; establishes and promotes this philosophy with all Facilities staff, contractors, and service partners.
  • Serves as liaison between retail tenants and property contractors and staff as needed.
  • Ensures that all property exterior grounds are maintained in a safe, neat, attractive, and well-maintained condition at all times.
  • Directs subordinate directors, managers, and supervisors to effectively and efficiently coordinate activities for all assigned functional areas of responsibility.

Ideally, you'll have

  • Bachelor's Degree in architectural design, civil or mechanical engineering or other related engineering discipline, construction or related field required; Professional Engineering License and/or Advanced Degree preferred
  • 5+ years of progressive management/executive experience in facility operations and management; including security/safety, with emphasis on on-going maintenance of a large facility and leading a multidisciplinary team of facility personnel.
  • 10+ years of supervisory/managerial experience with oversight for multiple facilities
  • Demonstrated successful experience in overseeing regulated environmental and public safety operations (OSHA, building and fire codes, parking regulations; etc.)
  • Knowledge and experience with the RFP and Bid processes, contractual terms and conditions/contract negotiation, for capital construction projects.
  • Experience managing capital construction and major renovation projects for a complex organization.
  • Ability to analyze, produce and interpret financial and budget reports.
  • Knowledge and experience with contract administration for large-scale construction and maintenance projects
  • Demonstrated knowledge of business management principles including strategic planning, resource allocation, talent management, leadership techniques, production methods, and coordination of people and resources.
  • Extensive knowledge of mechanical/electrical engineering principles and practices required in the design, construction, and mechanical maintenance of a large facility.
  • Extensive knowledge of, and demonstrated success in, implementing and overseeing computerized maintenance and management programs and/or computer aided facility management programs, in particular for HVAC systems, electrical systems and building automation systems).
  • Demonstrated ability to project calm, decisive leadership at all times while carrying out assigned duties.
  • Ability to recognize emergency situations and direct prompt and effective corrective measures; will be called upon to oversee all response and recovery operations during emergencies.
  • Excellent interpersonal, customer service and problem solving skills in dealing with guests, clients and external organizations.
  • Proficient in the use of basic office automation software (i.e., email, word processing, etc.).

You'll crush it if you have experience with

  • Experience with computer-aided design systems.
  • Experience in and/or detailed knowledge of the residential or student housing apartment industry
  • Leadership in attaining LEED Silver certification for one or more buildings.
  • Certified Facility Manager (CFM) certification from the International Facility Management Association
