McGuireWoods LLP has an opening for a Practice Assistant/Legal Secretary to support our litigation practice areas in our Richmond, VA office. The Assistant will support partners and associates with legal and administrative tasks which include managing or submitting e-files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. The ideal candidate will have five or more years of experience supporting in a busy environment.

Responsibilities:- Prepare, edit/proof, and format legal documents and correspondence.
- Manage attorneys' calendars, coordinate meetings, schedule conference rooms, and make travel arrangements as required.
- Assemble exhibits and hearing binders; prepare document productions; schedule depositions.
- Maintain client and firm files.
- Establish and maintain relationships with firm administration and other departments to ensure the effective use of firm resources.
- Participate as part of a team providing coverage and/or backup coverage for multiple attorneys.
- Use initiative to coordinate complex administrative, marketing, business development and legal support duties.
- Demonstrate a thorough understanding of the content of attorneys' matters as well as their client's business/organization.
- Identify opportunities to improve processes (e.g., through technology, better workflow, etc.) in ways that help attorneys focus more on billable client work and less on non-billable administrative tasks.
- Assist occasionally on billable-type work and other department duties as needed.
- High school diploma or GED.
- 5 or more years of related experience in a professional administrative role, preferably within a law firm supporting litigation practice groups.
- Excellent planning and organizational skills.
- Proficient in Microsoft Office, Outlook and Elite/DTE (or other comparable time and billing software).
- Ability to proofread.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Possess a high degree of flexibility and ability to adapt to changing needs.
