Job Summary: 

Under general supervision, establish and maintain routines to ensure the Education Division’s databases and processes support the goal of empowering a diverse group of young leaders to be inspired, STEAM literate, confident, and ready to act as agents of ocean conservation. Maintain data for multiple databases (including Tessitura and Salesforce) to collect and preserve data integrity; adhere to legal and ethical compliance and safeguards for data of participants under 18; extract, analyze, and visualize participant and non-participant data; present recommendations to inform equitable recruitment, application, and registration strategies; contribute to budget development and oversight; support continuous improvement ideals by developing, documenting, and establishing division-wide policies, processes, and procedures; assist in onboarding Education new hires and volunteers; monitor Education’s service center; and perform other duties as required.  Support a work culture of equity and accountability demonstrated by leadership and interactions with colleagues and partners, both internal and external; encourage strong relationships among and between program participants, volunteers, and staff; adhere to equitable processes to recruit, interview, hire, and train new staff and volunteers.

Core Activities:                                                                                                                                 

  • Gather system and program requirements in collaboration with IT, the web team, Marketing, and Education staff for the Division’s databases (Tessitura and Salesforce).
  • Identify and configure new Salesforce integration applications as needed to provide more versatility and to create efficiencies for database users.
  • Define data audit requirements and safeguard data for legal and ethical compliance, integrity, accuracy, completeness, and relevance.
  • Create reports, data visualizations, dashboards, lists, etc. for leadership and program teams to inform strategic decisions.
  • Analyze data and present results to leadership and program staff to influence strategic outreach and recruitment.
  • Present recommendations, via summary reports, to the Division on a regular basis to inform ongoing decision making made by leadership and staff.
  • Train, mentor, and coach staff to become efficient and ethical database users (e.g., entering data, generating reports and lists, analyzing data, updating records, etc.) and improve data and financial skills; provide staff performance feedback relevant to data and financial skills to management, as needed.
  • Design and develop new, and maintain existing, standard operation procedures, materials, and documentation (e.g., training materials, flowcharts, screencasts, tutorials, and guidelines, etc.).
  • Contribute to the development of annual budgets by collaborating with Education leadership and managers.
  • Present overview of department expenses on a regular basis to the Division to inform status of actuals vs budget.
  • Monitor the execution of other financial processes (e.g., purchase requisitions, credit card reconciliations, WATCH Scholarships, and contracts).
  • Guide volunteers through onboarding logistics; work in partnership with Volunteer Engagement and Education Programs staff to support, train, and schedule volunteers; represent the Education Division at the annual volunteer appreciation evening gala and manage celebration events for Division volunteers.
  • Resolve Education service tickets within Tessitura (e.g., making revisions to field trip reservations in Tessitura, routing inquiries to appropriate groups/staff for responses, and providing stellar customer service to educators and stakeholders).

Preferred Knowledge, Skills & Abilities (KSAs):

  • Bachelor’s in English, journalism, communications, or related field or equivalent combination of education, training and experience
  • Ability to work within and maintain Monterey Bay Aquarium’s Core Values
  • BS/BA degree or equivalent combination or education, training, and experience
  • Salesforce Administration Certification desired
  • Intermediate experience with a data management system, Salesforce preferred
  • Proven experience meeting deadlines
  • Demonstrated ability to solve problems resourcefully
  • Excellent oral communication, formal writing skills, time management, and organizational skills
  • Experience in task and detail-oriented positions, must be able to work both as a member of a team and independently, with minimal supervision
  • Advanced knowledge of and experience with Microsoft Office - Excel, Word, and Visio - or similar office applications
  • Strong and effective interpersonal skills
  • Familiarity with Docusign and Docusign Retrieve
  • Familiarity with Asana, Adobe Acrobat, Sage Intacct, and Adaptive Insights
  • Experience with a reservation software such as Tessitura
  • Exposure to accounting, budgeting, financial reporting, purchasing, and invoice processing
  • Intermediate data analysis skills
  • Familiarity with Google Suite products
  • Ability to engage in professional and personal development as needed and/or desired
  • Ability to work within, and maintain Monterey Bay Aquarium’s Core Values

Physical Requirements to Perform Essential Job Functions:

  • Typical office equipment
  • Constant sitting, standing, walking, bending
  • Occasional unassisted lifting up to 50 lbs
  • Typical office environment, main aquarium and exhibits, occasional offsite events

Annual Compensation Range:

 $68,640- $74,000 USD annually. Starting rate will vary based on previous experience and relevant skills/knowledge set.
