Full Job Description
Our client, and investment firm located in Midtown Manhattan, is looking to hire a Temporary Administrative Assistant to support a team of professionals and manage office operations. This covers a maternity leave starting on/around February 1st through August 2025. Monday - Friday, hybrid schedule (remote days will vary). Hours: 9am - 5pm with occasional OT.
Responsibilities:
- Provide all aspects of administrative support for 4-5 partner-level professionals, as well as general administrative team support for the Investor Relations, Marketing, and Legal and Compliance teams.
- Responsible for supporting general administrative functions, including printing and binding presentations, performing light data entry, facilitating electronic signatures and managing phone inquiries.
- Coordinate senior-level internal and external meetings and conference calls.
- Coordinate domestic and international travel arrangements.
- Process expense reports using Concur.
- Support office management by maintaining kitchen supplies, managing the dishwasher, and ensuring a clean workspace.
- Facilitate in-office meetings by coordinating lunch orders, reserving meeting rooms, and welcoming visiting clients.
- There are no Personal Assistant responsibilities.
Qualifications:
- Proficient in Microsoft Outlook, Excel, and Word.
- Must be extremely organized, detail-oriented, energetic, dedicated to professional excellence, and willing to work in a fast-paced group environment.
- Exceptional communication skills (oral and written).
- Ability to establish and meet deadlines, be calm under pressure, and manage multiple priorities with professionalism and composure.
- Ability to maintain high standards despite pressing deadlines.
- Ability to solve problems with limited direction quickly and efficiently.
- Self-starter with an excellent ability to anticipate needs, solve problems as they arise, and follow through.
- Prior experience in an administrative role is essential, with a preference for candidates possessing 3+ years of experience within the finance industry.
Pay:
- $35-$40/hour
