Introduction to Role:
Become part of our Operations Data Office team, where you'll be instrumental in delivering improved data management practices vital to our Ops 2025 and Ops 2030 strategic plans.
In the role of Administration and Project Co-ordinator, you will be responsible for performing a variety of secretarial, administrative and project-oriented activities. You will co-ordinate administration of projects and assist our Project Managers with project related activities.
Accountabilities:
- Provides administrative or secretarial services to the senior team, coordinating complex meetings and off-site events, diary arrangements and travel in line with AZ policy
- Coordinates preparation of internal and external reports through gathering, analysing and summarising data and information from the senior &/or project team
- Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project
- Co-ordinates, collates and communicates information & documents at the detailed level, possibly of a technical or statistical nature
- Reconciles figures or information from various sources, ensuring completeness and accuracy, and follow-up on discrepancies
- Ensures coordination of the different business areas involved on a project and ensures adherence to deadlines
- Prepares and/or edits meeting agendas, minutes, presentations and tables
- Tracks project changes and produces updated project-based schedules as agreed with project management
- Supports the preparation of a budget and forecast reports to ensure projects align with initial cost specifications
- May control small sub-projects under general guidance ensuring delivery of project outputs according to plan, reviewing and refining plans as necessary
Essential Skills/Experience:
- High school qualification
- Prior Administrative experience
- Ability to follow processes
- Written and spoken communications
- Specialist knowledge in relation to administrative/project support activities
- Competent in the use of relevant office equipment and systems
- Experience of Microsoft Office software
- Can create and maintain systems for efficiency for both self and others
- Customer Service Skills
