Job Summary

The University of Michigan Medical School Office of Faculty Affairs is seeking two Admin Specialist Senior Health positions to partner with internal and external stakeholders to provide superior support and oversight over the Michigan Medicine Faculty Compensation program and several other Faculty Affairs workflows. The medical school has 3300+ paid faculty appointments and approximately a $1 billion payroll, so our team provides critical support to the medical school and health system. This position will report to the Director of Faculty Compensation, Analytics, and Compliance in the Office of Faculty Affairs and will support our department partners and leaders across a variety of important workflows and topic areas.

Responsibilities*

The responsibilities of the Admin Specialist Senior / Intermediate Health include but are not limited to:

Utilize specialized knowledge and individualized expertise across academic affairs and human resources to review and approve all Medical School faculty human resource changes, including:

  • Changes to compensation
  • Increases and decreases of faculty effort
  • Additions and changes to VA effort and appointments
  • Additions and maintenance of personal modifiers (PMODS) to track important HR data
  • Payments of additional compensation
  • Terminations and retirements
  • Additional appointments.

Ensure that all proposed changes and proposed compensation are equitable, commercially reasonable, and consistent with Medical School and University policy including applicable SPGs, and state and federal laws.

Under the direction of the Director, provide critical oversight for the following:

  • Coordination, review, and submission of the annual faculty merit program
  • Requests for equity reviews and retentions
  • Salary offer review process

Under general supervision, these positions will be responsible for the supporting projects, including contributing to project team(s), project deliverables, and ensuring that projects meet timely completion. Must be able to quickly become familiar with project objectives, as well as the role and function of each team member, to effectively coordinate the activities of the team. Communicate with senior leaders within Faculty Affairs and other functional areas regarding status of specific projects.

Support the development of internal resources and processes for faculty lifecycle workflows, compensation, and data management

Required Qualifications*

  • Admin Specialist Senior: Bachelor's degree and 3+ years of experience or an equivalent combination of education and experience.
  • Admin Specialist Intermediate: Bachelor's degree and less than 3 years of experience or an equivalent combination of education and experience 
  • Strong experience supporting administrative and human resource management and operations as evidenced by a track record of effectively keeping stakeholders engaged and apprised, managing multiple deadlines and priorities at one time, and effectively working across a number of customers. 
  • Demonstrated track record of positive team contributions, collaboration, and customer service responsiveness, and applying knowledge and analyses strategically and pro-actively. 
  • A positive growth-oriented approach and attitude characterized by a willingness to acquire new skills, continuously improve, apply creativity, build and leverage a network of collaborators, and possess an expertise in time management and complex coordination.

Desired Qualifications*

  • Preferred candidates will have 5 plus years of experience. 
  • They will have direct experience supporting the administration of compensation within an academic medical center and familiarity will best practices in faculty affairs and a Bachelor's or Master's degree in a related field. 
  • They will have direct experience accessing, interpreting, and analyzing UM HR data (particularly faculty appointment and compensation data), and overseeing important compliance processes.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
